Hello Everyone!

I'm making up for no message in February with a long set of updates for March!!

I know there's a lot of work going on as you continue to gather in formation about student location and the applicability of the education being provided to the states and territories requirements for licensure exams, but I wanted to take some time to tell you about what systems we have in place and have access to in order to assist the campuses with the tracking of student location, state authorization, professional licensure regulations and the notifications to enrolled students. There are quite a few actually, and while the individual campuses will still have to research applicability of the education in regard to the education the individual campuses provide, manage our own institutional specific information, and each university will have to continue to have someone to manage this process (updating , reporting, and answering or redirecting questions as needed), there are some general items that the CU-SIS has - thanks especially to Sara Layton at Boulder and Phillip Curry at UIS - available to all of us to assist in this.

Again, individual campuses will still be required to complete research for each program and state and to keep the data updated in CU-SIS, but there have been some changes and updates to assist with:

Student location - CU-SIS has a field to capture a student's location. At Boulder, all students, as part of the campus communications, are asked at the beginning of each semester to update their location as well as their other addresses (residence and mailing). All students are also asked to update their location again when they begin their registration period.

Notifications - For currently enrolled students, direct notifications are required within 14 days of the student indicating that they have changed their location to a state where the education being provided by your institution will not prepare them for licensure. CU-SIS has the ability to send out these no6fications.

For prospective students: for the required direct notifications to prospective students (the no's and the undetermined's), for now these will still have to be done on an individual basis. If you haven't already started working with your Admissions staff, let me know and we can discuss how to do that and set up a training for them.

Identifying Professional Licensure Programs - We are currently pursuing a new field on the Plan table in CU-SIS to denote this. More information is coming soon. I'll be sure to update you, and your Registrar's offices as soon as I know more.

Professional Licensure Program and State data - We are also currently pursuing a table in CU-SIS that will allow for you to keep and catalog this information for easy reporting and annual/semi-annual (depending on your institutional process) updating. This data is what is used, in combination with the student's location information, in the automated sending of the required direct notifications to enrolled students.

As one person asked - what can system to do assist us with these regulations - we can work to update the CU-SIS and give us all better mechanisms for capturing the data, alerting students to update the necessary information, and send out the required notifications. What do the individual campuses have to do? Collect and assess the information, data entry, and data maintenance. While we may have some similar programs, they're not identical, and while we all fall under the same system umbrella, we're each responsible for our individual university's reporting and compliance.

For those of us that also oversee or work on the NC-SARA data reporting and the renewals, the information above will aid you in gathering the required information and documentation for those processes. Working together with those who are working with the student location and professional licensure regulations will show that there is some overlap and a need for common definitions, policies, and procedures.

I'll be meeting with campus Registrars soon about some of these changes - since your Registrars' offices are the offices who will own this student data at the end of the day. This information is used in a variety of ways (remember this isn't just an NC-SARA or state authorization set of regulations, these apply to all students) and its important they have the opportunity to understand the potential impact on their work and processes.

I'd also like to have time for those who work closely with state authorization and professional licensure regulations to see how this all works as well as to talk about other ways we can support each other as we move toward compliance. Sarah Layton from Boulder will be joining us for this meeting for a the first part to go through the changes and we'll talk about the specific data you should be collecting for this. In other news, I was made aware earlier this month that some state police bodies outside of CO require students to have degrees in criminal justice that meet various state requirements in order for individuals to be eligible to be trained as police/peace officers. This seems to be a very spotty requirement and I'm really not finding much literature on it other than some disclosures from a few institutions indicating that their program has been approved for students wishing to become police/peace officers in that state. I don't think I would spend too much time on this one right now, other than confer with your Criminal Justice Departments and see if they have a lot of students looking to become police/peace officers or correctional officers and if their curriculum is geared toward that in any way. I would suggest maybe (at your discretion) listing the program among your licensure programs, but definitely stick to the "unable to determine" option noting that for polices/pease officers and correctional officers requirements may vary by state and jurisdiction.
